Solutions List

Project

The Alex has decided it is time to move our data hosted in Microsoft from the USA to Canada. This is an organizational decision, and it has been established as a high priority. It is a large scale move and will impact everyone, so we are asking for your patience and cooperation to help us prepare and execute.

Timeline

The move will take place over the April long weekend, starting on Thursday April 14th at 6:00pm and should be complete by Monday April 18th at 10:00pm.

What to expect

While the move is taking place, you will not have access to email, Teams, One Drive. Wolf, Civi, or Remote Access. Access to files using network drives (S:Driveetc) will continue to be operational.

How to prepare

  1. Help us clean the house by deleting old emails, photos and documents, emptying your recycle bin, and removing inactive Teams. The less data we have, the less there will be to move.

  1. Get familiar with our Help Centre. This will be your connection to our IT Team throughout the move. You will find support instructions, important updates, and be able to submit a request to help@thealex.ca if Outlook is down.

  1. Shut down your computer before leaving the office on Thursday April 14th.

After the move

When you are back in the office on Tuesday April 19th, you will be required to do the following:

  1. Turn on your computer (restart computer if you didn’t shut it down on Thursday).

  1. When you open Outlook and Microsoft Teams, you will be asked to reauthenticate. Do this by entering your Alex username and password. (What you use to log into your computer).

  1. Setup Multifactor Authentication (MFA). Not sure how? Find instructions by going to our Help Centre or follow this link

  1. If you come across any problems, access the Help Centre by scanning the QR code below.

Support & Solutions

Our support efforts will be in full force Tuesday morning to help with any problems or challenges that may arise. We will have to prioritize our support to ensure help is provided in order of urgency, so please be patient as we work through requests. Remember we are a small team, and this is a big project!  If you run into a problem, here are the steps to take:

  1. Access support instructions on our Help Centre by scanning the QR code at the bottom of this page.

  1. Speak with your Team Lead. We encourage everyone to note their Team Lead’s phone number in case you have trouble accessing Outlook or Teams.

  1. Submit a ticket through the Help Centre by following the QR code below. *Depending on urgency, some requests may take up to 24 hours to respond to. If you haven’t heard from us after 24 hours, please follow up.

  1. Be patient! We will get through this together!
